How to Use MedTrainer To Simplify AAAHC Accreditation

Brynne Piehowski

If you’ve been through an AAAHC (Accreditation Association for Ambulatory Health Care) survey before, you know the pressure of peers reviewing your documents, talking with your staff, and watching how your team works.

It’s a much smoother survey when you’ve maintained documentation and tracking throughout the accreditation period, rather than scrambling in the weeks leading up to a survey. Using compliance software, like MedTrainer, simplifies the process and makes it easy for all staff to complete what is required.

Thinking Like an Auditor: How to Use Evidence to Pass an Audit

In this article, I’ll highlight exactly how MedTrainer helps thousands of organizations stay aligned with AAAHC standards.

Where AAAHC Survey Prep Breaks Down

Having policies, assigning training, and maintaining credentials is only the first step. Survey prep breaks down when the team can’t prove these tasks happened, consistently, with documentation. AAAHC’s Quality Roadmap 2026 edition names the three most common citation areas — emergency management, infection prevention and control, and quality.

Emergency drills were the most common problem surveyors found in primary care. 42% of surveys fell short of full compliance on drills. That’s because running a drill isn’t enough. You also have to record the date, time, participants, location, outcome, and evaluation of each drill. Then you need to show proof that you fixed the identified gaps.

Infection prevention was also commonly cited. Written programs were often incomplete or outdated. Many lacked clear oversight. Primary care settings also tend to have leaner staffing and fewer staff trained in infection prevention.

Quality improvement is another. Many organizations already track quality data. But AAAHC looks for more than tracking. It wants to see a problem identified, a change made, and a remeasurement showing whether the change worked.

This all goes to show that the right system can truly make a difference.

How MedTrainer Simplifies AAAHC Survey Prep

Survey prep is easier when tracking is automatic and all your evidence lives in one location. MedTrainer gives you a clear way to show surveyors the work your team has done. Here’s where MedTrainer’s existing capabilities support AAAHC survey prep.

Policy Management

Writing policies from scratch is time-consuming and cumbersome. And while AAAHC may set the standards, it doesn’t write policies to meet them — that’s where MedTrainer comes in. MedTrainer’s policy template library offers thousands of expert-drafted templates built from officially-licensed standards. When AAAHC updates any standard, MedTrainer updates the appropriate templates in the library. Automated expiration reminders keep you on top of update cycles with redlining, board approval, and signature right in the same workflow.

MedTrainer also automates policy distribution to staff and acknowledgment tracking. To an AAAHC surveyor, an undocumented policy review never happened. MedTrainer proves it did. The system logs each acknowledgement with a time stamp and audit trail to be used as evidence in surveys.

Automated Exclusion Monitoring

MedTrainer checks SAM weekly and the OIG List of Excluded Individuals and Entities (LEIE), Death Master File (DMF) and state databases monthly. A status change triggers an alert. The system logs each check with the provider’s information, the date, and the database source. That’s enough for a defensible record.

Credentialing is a known common area in surveys because AAAHC requires ongoing monitoring, not a single check. That’s how MedTrainer runs exclusion checks — they’re automated, so they just become a process in the background you don’t have to think about.

Courses Aligned To AAAHC Standards

Staff training is an important part of any accreditation, as surveyors look at whether staff have the training their roles require. The hardest part is knowing the right courses to assign, because a missed course can become a gap that a surveyor cites. MedTrainer’s course library makes it easy.

You can filter by Accreditation Compliance in the MedTrainer Course library — AAAHC is the first one on that list. We offer dozens of courses on topics ranging from emergency preparedness, HIPAA compliance, risk management, and more. Whenever a standard or regulation changes, we make sure to update that in our Course library.

Onboarding Automation

MedTrainer’s Onboarding Paths automatically assign required training, policy reviews, and HR forms the moment a new hire is added. Reminders continue until everything is complete. The courses behind those assignments come from MedTrainer’s in-house learning team. All content is built and maintained internally, rather than licensed from a third party.

AAAHC requires staff to complete emergency preparedness orientation within 30 days of starting their job. That’s a fixed deadline for everyone, no matter their role. If you’re regularly hiring, it’s easy for one specific training to slip through the cracks. But with MedTrainer’s onboarding automation, it will happen automatically.

Survey-Ready Reporting

MedTrainer flags incomplete training and expiring policies as they happen, not during a pre-survey scramble. Those reports are customizable and can be emailed automatically to stakeholders inside or outside the organization on a set cadence. The platform assigns corrective actions and approvals directly.

AAAHC requires an annual self-assessment, and surveyors can request evidence of it at the next survey. That evidence needs to reflect real, ongoing compliance. AAAHC can revoke accreditation over it. MedTrainer’s reporting keeps that evidence housed in one system, ready year-round. Clients say surveyors breathe a sigh of relief when they find out MedTrainer is used because they know every required document can be obtained with just a few clicks.

MedTrainer Delivers Real Results for AAAHC Accreditation

99.8% of MedTrainer’s clients passed their healthcare compliance surveys or inspections in the past year. Here’s what that looks like in practice.

Sault Tribe Health Division, a tribal health organization in Michigan’s Upper Peninsula, leveraged MedTrainer’s Onboarding Paths to make sure all new hires completed training within AAAHC’s 30-day window. Training completion improved from the 60-70 percent range to 99.98 percent. The organization has maintained that level for more than five years.

“The solution was not only easy to adopt, but also continues to deliver results, year after year,” said Joanne Umbrasas, Director of Operations.

SurgCenter of Western Maryland is an AAAHC-accredited ambulatory surgery center in Pennsylvania. It used MedTrainer to prepare for reaccreditation and meet state and federal training requirements. The center saved more than 52 hours a year previously spent on manual training administration.

“Before implementing technology, the clinic director had to go through every paper for every course and enter it into spreadsheets. It was a lot more laborious,” said Raghu Reddy, Chief Administrative Officer.

One organization needed faster training compliance to meet AAAHC’s standards. The other needed reaccreditation readiness. MedTrainer simplified the path for both.
